Administrative Coordinator

Role Overview: We are seeking an Administrative Coordinator to join our team and manage day-to-day operational duties, administrative tasks, and organizational management responsibilities. The successful candidate is one that brings organisation consistency, clear communication and team coordination, and a seamless experience for the whole community – from students, parents, staff and other stakeholders. This role requires a blend of on-site and remote work to effectively handle various tasks.

This is a part-time, flexible position (approximately 15 hours per week to start), with potential to expand as our educational programs and initiatives grow.

Key Responsibilities:

A) Operational Duties – Day-to-Day Tasks:

  • Manage reception and studio organization, especially during busy periods.
  • Handle general emails, calls, and social media messages promptly and professionally.
  • Ensure smooth coordination of daily tasks to maintain operational efficiency.

B) Administrative & Organizational Management Tasks:

  • Oversee tutor rosters, ensuring adequate coverage and scheduling.
  • Manage course and class scheduling to optimize student experience and resource utilization.
  • Provide support to students and ensure their learning satisfaction, including collecting and sending student reviews and issuing certificates.
  • Maintain accurate records and databases related to administrative tasks.

  • Self-motivated, organized, and comfortable working independently.
  • An interest in art, education, or community engagement is highly desirable.

Requirements:

  • Excellent communication in written and spoken English, with Maltese being considered a big asset!
  • Previous experience in administrative or coordination roles preferred.
  • Proficiency in MS Office suite and familiarity with scheduling software.
  • Ability to work independently and collaboratively in a hybrid work environment.
  • Strong interpersonal skills and a customer-centric approach.
  • Education and Experience (required): ECDL certificate; and Education level equivalent to a minimum of MQF level 4 or higher higher in Administration, Management, HR, Communications, Education or any other related field.
